Approval of Agenda: It was decided to table str=

plan committee chair directives until the overnight due to not enough membe=
rs
present.
Secretary’s Report, Kim Seaman: Esther mo=
tioned
to approve the secretary’s report as submitted, Mitch seconded, so mo=
ved.
Treasurer’s Report, Jackie Creed: Breakdo=
wn
discussed by Jackie; spreadsheet now on back for the entire fiscal year. Kim stated that although NAR was
budgeted for, there might not be a meeting this year. Jackie discussed audit done every =
3 years,
review each year. A review costs $1500-$2500. She can look into other options, we
budgeted $1720. Discussion wa=
s held
about how these rates are comparable rates with other agencies and that sin=
ce
this company did our audit they already know our books. There is money in the budget if th=
e fee
goes over. It was decided tha=
t we
would stay with this same company for this 3-year cycle as long as we conti=
nue
to be satisfied with the company.

President’s Report, Kim Lavoie:

- Discussion was held about hav=
ing more
information under our “resources” section on the website.<=

better connect with members across states and giving other members from
NAR school counselor associations the membership price for them to att=
end
our conferences. Massach=
usetts
has agreed to do this for our members. Esther motions, Lynn secondR=

motion passed to allow membership prices for their members. Governing board members have =
been
allowed to attend some other state conferences free of charge. We have also allowed their bo=
ard
member the same benefit at our conferences. Discussion was also held abou=
t how
other states run their conferences and how they get funding. It was suggested that we
should visit our neighbors and get ideas from their conferences.

This is a By-law change, you may begin to see this on ASCA. This may change our budgeting=
since
we currently send president and president-elect to delegate assembly a=
nd
ASCA conference. If chan=
ge is
made we will have to discuss how we determine who attends the ASCA
conference.

also suggested by ASCA that SCA’s consider having a lawyer on
retainer. Discussion was=
held
and it was determined that we will keep this in mind for the future.
ASCA also stressed having a
procedural manual and make sure that board members know bylaws and
governing policies. We h=
eld a
discussion about creating a procedural manual with sections; we could =
post
it on our website. Discu=
ssed
what this means; archives and ‘organized efficiency’. We would be able to access our
discussions at later dates.
Kim will email us all the roles; it was suggested that we come =
to
next meeting with a list of duties for each position and that we need =
to
have one person be accountable (the president) for keeping track of th=
is.

to Marianne Groefrer and invite her to pre=

an update to what’s happening on the state level and what we cou=

do to help maintain connection with the state.

Update of roster and roles discussed:=
Professional Development Chair and
Graduate Liaison open. Nomina=
tions
& Elections chair is usually the past president; can we assign this to
someone else? Changes made. It was discussed that each level VP
writes a newsletter article to connect with counselors at their level. (What
are the issues, how can I help you?)
Also to write a blurb for the website with our picture to more perso=
nalize
it. All email addresses of ea=
ch level
should be with the VP’s.
Technology is still working on getting all current membership
information in order to make the contact information available to the
VP’s. Discussion was he=
ld
about current membership and renewals and having paper renewal notices going
out along with the emails. Al=
so
discussed was PR/membership having joint committee meetings. Currently our membership is a litt=
le
below this time last year. It=
was
discussed that committee meetings take turns meeting prior to other schedul=
ed
meetings and how we can help board members get out of their schools for
meetings. Kim will send email=
with
calendar to all ‘new’ folks who have expressed interest in join=
ing
the committees. They would get
mileage and professional development hours (goes on resume, networking are
additional perks). =

Life Space Crisis Intervention is one thing she is working on, =
also
grief and loss. It=
was
discussed how we would determine what criteria we use to determine wha=
t we
post so that we have a concrete approval process. Susan will review by-laws and
governing policies as well as contact ASCA for their input. The concern was raised that we
would get too many requests and we can’t discriminate on whom we
advertise for? It was de=
cided
that the professional development committee should be part of this
discussion and we will hold off until more information can be
obtained. The board want=
s to
be able to meet the needs of what counselors need. Other ideas could be
writing newsletter articles, beefing up our resources section, asking
about this on the listserv, making it member generated and writing a
disclaimer. Tabling this
except advertising NHSCA meetings and conferences until we do more
research.
Regional Chair Updates:
- Mindfulness research project =

Copyrighting curriculum and data being worked on.

Conference vs. Summer Institute-One budget currently; if we don’t
combine them, $8,000 goes to spring, $11,000 to summer institute. Discussion held on whether to=
do
the spring or summer conference.
It was decided that we could focus on creating a comprehensive
guidance program through the summer institute venue better then a spri=
ng
conference. A major bene=
fit to
the summer institute would be that districts could send teams from the
district during the summer. It
was felt that members are at different points in their programs so we
could provide various breakouts to meet the needs of the members. It was suggested that we work=
to
see if the state could help underwrite it since it’s a state
mandate. Virginia SCA is
training all their school counselors and may be a good team to invite =
to
help with the process. T=
hey
have recently created a “how to” manual for their state.
We need to advertise early; 3=
rd
or 4th week in July discussed to be a good time & alter=
nate
years with a spring conference.
Keene may still be at no cost for Susan Th=
eberge
to make arrangements. De=

to have summer institute was made, all in favor; looking for committee
chair. Motion to combine
summer institute and spring budgets was made by Susan, seconded by Lyn=

amend budget for next meeting.

Conference-Holly passed out budget & brochure sample. Discussion about shortening
brochure w/bulleted points.
She would like help with editing. Pricing changes discussed, pr=
oposed
to charge more. Discussi=
on was
held about having vendors, which could help defray costs. We do currently have a carry =
over
this year, which could help if we lose money. If we make money, it could go=
to
the summer institute costs.
Current budget shows a $900 loss. We will give a discount for N=
orth
Country for help with gas, $10.
Do we want to budget w/loss, profit, or to break even? Members $115; non-members $14=

students $90. No early b=
ird,
bigger discrepancy to cost of being a member. Mary Anne will be taking
registrations, $1/person. Other
states, we will have to trust that they are being honest about being a
member. After shortening
brochure, we will redirect members to website for fuller brochure. Mary Anne sends in pdf to Holly, that is some of the delay in
corrections.

If committees are running efficiently, board meetings would be =

time consuming. Discussed
having less board members on committees and more members helping on the
committees. We need to
advertise the offer of mileage and professional development. Regional meetings can recruit
members for committees, as well as at our conferences. Discussed previous and current
hurdles in this process. It
was suggested that at the conference we set up different tables for
committee openings and having a working lunch with members interested =
in
helping.
